Description

As a Subcontractor Coordinator with Graycor Construction Company, you will provide office-based technical and administrative support to the preconstruction group.

At Graycor, You Will Have The Opportunity To:

  • Prepare bid invitations and manage invitation process:
    • Assist in the review of the bid documents to determine required trades and prepare bid invitations using the Building Connected preconstruction software tool.
    • Contact various construction project reporting agencies and list project and GCC as bidder.
    • Assist in the upload of applicable bid documents and supporting documentation to Building Connected.
    • Assist with making follow-up calls to invited bidders to encourage bid participation.
    • Upload and distribute to bidders, additional documentation as it becomes available during bid process; i.e., RFI responses, addenda, bid clarifications, etc.
  • Subcontractor Prequalification in Trade Tapp:
    • Initiate prequals, follow up on prequals, add comments in Trade Tapp and help organize post project evaluations and surveys.
  • Assist the preconstruction team with preparing various documents used in assembling bids / proposals:
    • Assist in downloading client bid documents.
    • Client document upload to Procore Document and Drawing tool including managing the upload of drawing revisions and additional documentation.
    • Update Procore D
    • Assist in the preparation if necessary for the “Bid Day Summary” and interface with owner’s bid form as applicable.
    • Assist in the set-up of the tabulation sheet (“Circle Sheets”) template for use by bid team to populate with trade specific scope of work.
    • Assist it in the tax, legal and insurance internal reviews by Graycor Risk Management personnel.
    • Assemble “GMP” books containing back-up documentation in support of submitted proposal.
    • Assist in vetting subs for purchasing – i.e., review subcontractor database for past project performance evaluations, follow-up on contractor score requests, etc.
  • Provide support in other areas of the preconstruction group’s efforts, including:
    • Attending the weekly perspective work forecast meetings.
    • Create / update labor rate tables within “WinEst” estimating software.
    • Collection of historical data from subcontractor proposals and circle sheets.
    • Prepare quantity surveys and evaluate / compare proposals as needed on certain bidding opportunities.
  • Develop subcontractor lists for “out of town” projects:
    • Canvass marketplace for subcontractors in advance of issuance of RFP.
    • Prequalify subcontractors following company guidelines.
    • Assist in determining predominant labor affiliation in project locale – union versus open shop.
    • Research past projects and review all subcontractors that bid.
    • Review city building department sites in certain projects. 
    • Canvass websites for subcontractors such as ABC.org, AGC, etc.
  • Participate in teams/groups to identify ways to continuously improve preconstruction and subcontractor coordination processes.
  • Other duties as assigned.

 

 

To Be Successful in This Role, You Will Need:

  • • Associates or undergraduate degree in construction management, engineering, or relevant discipline preferred.

• Minimum three years of commercial construction experience.

• Strong Microsoft Office Skills (Outlook, Excel, Word, PowerPoint).

• Strong attention to detail, organizational skills and the ability to manage multiple, competing priorities.

• Communicates clearly and proactively both verbally and in writing.

• Conveys a sense of urgency and projects a positive, proactive desire to support a broad range of initiatives.

• The ability to interact professionally and effectively with managers and co-workers.
