The Project Support Specialist position will be an office-based position that supports the projects for document control using the InEight Document software. Each Project Coordinator will have several jobs assigned to them based on the size and scope of each project. They will work with the project engineers in the field, on each respective job, for direction on project setup and communication.
Documents:
As document transmittals are received from the Owner, the Project Coordinator will review the transmittals, download the documents, and then upload them into InEight Document. They will then, through a matrix that is set up beforehand, transmit the drawings to the appropriate parties. This includes the suppliers, subcontractors, and site field management inclusive of Project Engineers, Superintendents, General Foreman, and Foreman. If paper drawings are utilized for a project, the drawings that need to go to the field for the supervisors will have to be delivered by the site staff to the respective supervisor. This can be done by sending drawings directly to the printer at the site, printing them in OBT and shipping them to the site, or by sending the site a link to the document packages and having the field print the drawings for delivery to intended recipients.
Drawing Comparisons:
In addition to the receiving, uploading, and transmitting of drawings, there are other tasks that will be included for this position. As new revisions come in, the Project Coordinators can use the drawing comparison tool create a PDF copy of the drawing differences. Comparison packages can be put together by the project coordinator and send to the Project Engineers in the field for review. This will save the Project Engineers much time if these comparison packages are sent every time a new revision is received. It will be a part of the procedure, so that the Project Engineers will incorporate that process into their tasks as well. Recognized changes can be brought to the attention of the Owner, and the change management process can be more rapid and efficient with these comparison reviews.
Flexible Duties:
Aside from all the above items, the Project Coordinators shall support the projects with other requirements and needs as assigned.
Position Requirements:
- Associates degree in business, construction management, engineering, or relevant discipline.
- Strong skills in Microsoft Office consisting of Work, Excel, Outlook, and Power Point.
- Strong attention to detail, organizational skills, and the ability to mange multiple, competing priorities.
- Convey a sense of controlled urgency.
- Projects a positive, proactive desire to support assignments.
- Ability to interact professionally and effectively with co-workers.
